Presenter Information

Presenting Computers

The main conference rooms are equipped with computers running Microsoft Windows containing most expected software such as MS Office. You will be provided a login to these computers next to the computers. There is also the option to connect your own laptop via a (full-sized) HDMI connection. We do not have dongles/converters available so if you need to connect please ensure you have one.  

Recording

At TEI2022 we will be attempting to record the displayed screen and audio from each of the main parallel sessions on the Weds/Thurs/Friday of the conference and keynote lectures. We hope to make this available under an open license a short time after the conference has concluded. If you do not want your presentation to be included, please contact tei2022@ncl.ac.uk with the subject line 'Recording Opt-Out' and the details of your presentation. Presenters are asked to stand near to the presenting podium and wear microphones where provided.

Timings of Sessions

Some sessions, such as Short Papers and Demonstrations, have additional buffer time built in to allow for switchover of presenters. 

  • Short Papers: Speakers will be given 15 minutes each: 10 minutes for presentation, 5 minutes for discussion. 
  • Demonstrations: Demonstrators will be given 15 minutes each: 10 minutes for presentation, 5 minutes for discussion. 
  • Long Papers: Speakers will be given 30 minutes each: 20 minutes for presentation, 10 minutes for discussion. 
  • Panels: These sessions are organised by their submitters and have a full hour and a half.

Chairing Sessions

Session chairs should ensure that the session runs to time. They should warn the presenter as the end of their presenting time approaches, so that there is ample time for discussion. In absence of questions from the audience, the chair should consider asking one or two. Some sessions have less papers then when originally organised -- people have had to drop out. Generally those sessions should still run approximately to time, though the chair could choose to be slightly lenient (e.g. allowing an extra couple of minutes for speaking or discussion).  

Workshops 

Workshop organiers will be sent a email with additional information about the organisation of their session. These are either the Monday 12 September or Tuesday 13 September 2022 and either Full-Day (9:30am - 6pm including breaks) or Half-Day (on Monday, 2:30-6pm; on Tuesday 09:30am-1pm). Signups to workshops will be through the conference registration form and come at no extra charge to attendees. Participants are expected to bring their own laptops.

Poster Session

The poster session and slam takes place from 4:30pm on Wednesday 14 September 2022, however poster presenters may put up their posters as soon as the poster boards are set up. Although the poster boards can take up to A0-sized posters, the recommended size is approximately A1 (594 x 841 mm or 23.4 x 33.1 in). Some poster-fixings will be available to presenters. If poster presenters wish to have their posters printed in advance at Newcastle University Print Services in the library they can email posters@newcastle.ac.uk for information or with files and size in usual formats (e.g. PDF) and date you will need them by, and they will send a quote for printing and a link to pay. All poster printing must be pre-paid. The TEI2022 organisers cannot pick up your posters for you or store them. All physical poster presenters will also be asked to participate in the Virtual Poster Session (see below).      

Virtual Poster Session 

A Virtual Poster session will be held in https://gather.town/ on the Thursday after the conference (September 22, 2022) to enable people to participate who are not able to physically attend the conference. Accepted poster presenters from the conference will automatically be eligible to present in the Virtual Poster session as well. 

The Virtual Poster session will be held in https://gather.town/ on the Thursday after the conference, September 22, 2022 at 1:00pm BST. All posters or virtual posters accepted to the conference are able to also present in the Virtual Poster session as well. The poster session will be run using https://gather.town/ where we set up a space for each poster presenter: https://app.gather.town/app/DVLCOOcP1lTL5Zkh/TEI2022  (the link is only available during the poster session). 

Please send your poster to martina.scholger@uni-graz.at by Tuesday 20 September 2022 at the latest, taking into account the following specifications: 

  • PNG or JPG format 
  • landscape format 
  • min. 1000 x 600 pixels 
  • max. 3 MB 

It is expected that at least one of the authors will be available to answer questions during the poster session.
